Job brief
We are looking for a skilled Administrative Officer to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities, and you will be the “face” of the company for all visitors and will be responsible for the first impression we make.
An excellent administrative officer is, above all, a well-organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed. If you have previous experience as an Office Administrator or similar administrative role, we’d like to meet you.
The goal is to ensure that office operations are efficient and add maximum value to the organization.
Responsibilities
Follow office workflow procedures to ensure maximum efficiency Maintain files and records with effective filing systems Support other teams with various administrative tasks (scheduling meetings etc.) Greet and assist visitors when they arrive at the office Monitor office expenditures and handle all office contracts (rent, service etc.) Monitor office supplies inventory and place orders Schedule internal appointments Ensure timely and accurate customer service Update office policies as needed Maintain a company calendar and schedule appointments Book meeting rooms as required Ensure proper mail distribution Keep updated records of office expenses and costs Ensure company’s policies and security requirements are met Take up other duties as assigned (travel arrangements, schedules etc.) Prepare outgoing mail by drafting correspondence, securing parcels etc.
Requirements
§ Solid knowledge of office procedures
§ Experience with office management software like MS Office (MS Excel and MS Word, specifically)
§ Strong organization skills with a problem-solving attitude
§ Excellent written and verbal communication skills
§ Attention to detail
§ experience as Administrative Officer, Administrator or similar role will be considered as advantage
